Your Mission
As an Administrative Assistant, you will play a key role in ensuring the smooth operation of office activities by managing communication, scheduling meetings, and coordinating business travel. You will oversee office records, supplies, and inventory while supporting administrative financial tasks such as processing invoices and expense reports. Additionally, you will collaborate with Engineering, Finance, HR, Procurement, and IT Infrastructure teams to enhance administrative processes, ensuring efficiency and organization in daily operations.
Function will be reporting to CEO.
Sneak preview of your future tasks
- Act as the first point of contact for visitors, ensuring a professional and welcoming environment while directing inquiries to the appropriate personnel.
- Schedule and coordinate meetings, appointments, and conference room bookings, ensuring all necessary preparations are made in advance. This includes and is not limited to the preparation of meeting minutes and presentations.
- Contribute actively to ensure the successful operation of office reception.
- Manage office communication, including handling phone calls, emails, and correspondence to ensure efficient information flow.
- Support CEO and Engineering Heads with the organization of meetings, events, as well as administrative matters
- Organize and maintain office records, documents, and filing systems, both physical and digital, to ensure easy access and retrieval.
- Assist in processing invoices, expense reports, and other administrative financial tasks in collaboration with relevant departments.
- Support business travel arrangements, including booking transportation, accommodation and preparing travel documentation.
- Coordinate office supplies and inventory, ensuring timely procurement and availability of necessary materials.
- Collaborate with Engineering and Administration teams to support implementation and execution of administrative processes as well as detect areas of office management improvement.
Your Profile
- Bachelor’s degree in business administration or a related field.
- Minimum 3 years of experience in office administration, preferably in an international company.
- Organizational, time management, prioritization, and multi-tasking skills.
- Excellent communication and event management skills.
- Proficient in office software (e.g., Microsoft Office Suite).
- Capability to handle confidential information with discretion.
- Proficient in both written and verbal communication in Bulgarian and English. German language proficiency is an advantage.
